Oracle Account Segments & their Descriptions
An Oracle Account is the concatenation of segments, followed by a reserved segment; where the reserved segment is always set equal to “0000”.
The Oracle account using the above example would read as,

Business and Financial Affairs has provided an Excel file containing account segment values and descriptions from the Oracle database. The file also contains an embedded macro to add account segment descriptions to funds-available inquiry data that has been exported to Excel. Click on the links below and save the files to your desktop. Review the “Instructions” documentation to learn how to run the “Funds Inquiry” in Oracle, export the data to excel, and run the Macro. The “Account Segment Values” is an Excel file, “AcctSeg022107.xls” containing an embedded macro which can be run on funds available inquiry data that has been exported to Excel. Upon completion, two worksheets are created:
- “Orig” where all data values are displayed in their original, database-defined format.
- “Parsed” where all null-value rows are removed, account numbers are parsed into account segments, and account segment descriptions are added, with table-row and column headings.

Organization Segment
An Organization is a mission-charged unit with budgetary control and/or management responsibilities for resources. The Organization segment value answers the question of accountability — basically who is responsible. Organizations belong to hierarchical groupings for financial reporting purposes. For instance, Distance Learning “40204” rolls up to the parent of Provost “40200”, which in turns rolls up to the parent Academic Affairs “40000”. Reporting within the Oracle Financials allows us to extract information or report at any defined hierarchical level. Use of assigned Organization segment values is mandatory. These values are determined in cooperation with campus organizational units, approved by campus management, and maintained by Accounting Services.

Activity Segment
An Activity is defined by and belongs to an Organization. Activity segment values do not stand alone but are dependent upon the Organization segment. The Activity segment is intended to provide the Organization with a means to segregate pieces of its mission. It might be a program, an internal training effort, or a site. For example, in Business Information Systems, Activity “432” might be Help Desk Support, while in Student Outreach Services, Activity “432” might be High School Site Visits.
Once an activity value has been defined, the value should be entered consistently so that organizational reporting will be complete and meaningful. Each Organization has expanded ability to track and report as many activities as are unique to it. These values are requested by campus organizational units and maintained by Accounting Services (see Account Request Form).

Oracle Natural Account Segment
Natural accounts capture data at the transaction level. Natural accounts exist for a range of Assets, Liabilities, Equity accounts, Revenues, and Expenses. Most departmental end users will be concerned only with transactions related to revenue and expense. Revenue natural accounts begin with a 5 and capture income transactions including fees, tuition, interest income and other revenue sources. Expense type natural accounts begin with a 6. Salaries and wages (601xxx), benefits (603xxx), supplies, services, travel and equipment are translated to natural account segment values. The segment is five digits long to allow for more ways of accounting for the types of expenditures made by an organization. For example, recruiting or advertising expense might be added as natural accounts.

Endeavor Segment
The Endeavor segment is used to denote an effort that extends across fiscal years and/or across organizational lines. Endeavor is also used to denote campus efforts that require specific budgeting and reporting. Examples are construction projects (across fiscal years, with specialized reporting requirements) or Shared Visions (across organizational lines). Interdisciplinary efforts might also use this segment. Once a value has been defined, the value should be entered consistently so that organizational reporting will be complete and meaningful.
These values are requested by campus units, approved by campus management, and maintained by Accounting Services.

Fund Segment
The Oracle fund segment value represents the State of California funding source by year of budget enactment if applicable. In the list of values, the first column is the Oracle segment value and the second column the description. The third and fourth columns provide additional reporting information (maintained as a reporting attribute within the system) such as the appropriation year.
Each new fiscal year will require the use of a new value to designate that year's appropriation, such as each year's general fund budget enactment year. For example, the value to be coded into the fund segment to designate that an expenditure is from the 2005/2006 General Fund is“1005”. Note: if the expenditure is to be from 2006/2007 funds (say at the very end of the fiscal year as requisitions are prepared for the next fiscal year) the value to be used is “1006”.

Function Segment
The Oracle Function segment values identify the primary public purpose or benefit to be served. A function is composed of one or more objectives which may cross organizational and/or funding sources, usually used to support a specific legislative, statutory, reporting or Board mandate.
Functions facilitate classification of transactions according to national accounting standards in accordance with generally accepted accounting principles (GAAP) and the Governmental Accounting Standards Board (GASB). Typical Function values include: General Academic Instruction, Libraries, Student Services Administration, and Fiscal Operations. Use of assigned Function values is mandatory. These values are determined by campus management and maintained by Accounting Services.
