Introduction

HR Queries

Queries are a way of extracting data from your database for reporting and auditing purposes. Queries are defined so that they ask for specific sets of data from PeopleSoft based on tables, fields, and selection criteria. Query results can be displayed in your browser window or saved to Excel.

1. <Reporting Tools> | <Query> | <Query Viewer>

2. Enter your data to identify your query in the begins with field. Otherwise, click on the Advanced Search link to use other search options.

Note: Entering “SD_” for Query Name will bring up a list of most available “SDSU” queries.

3. Click <Search>.

After pressing <Search>, the “Search Results” page displays.

If you wish to view your query results in a new browser window:

4. Locate the desired query and click the <HTML> link in the “Run to HTML” column.

Note: If you click <Favorite link>, this query will automatically display the next time you navigate to <Query Viewer>.

5. The query results will open in a new window.

6. The default display always shows 100 rows of data; use the arrows above the data table to move through your results.

7. Use the links above the data table if you now wish to view these results in an Excel spreadsheet or save the results in “CSV” text-format.

After searching for your query, the “Search Results” page will display.

If you wish to view your query results as an “Excel” spread sheet:

8. Locate the desired query and click on <Excel> in the “Run to Excel” column.

A new window will open for the file download.

9. Depending on the browser security settings, the download feature may be blocked (See Optimizing Internet Explorer for Oracle / MarkView Imaging / PeopleSoft Applications, for more information).

For example:  If Internet Explorer displays the message, “Processing Please wait...” right-click on the display window, then select, <Download File>.

10. A dialog box displays the options: <Open> | <Save> the file. 

Click <Open> to display the spread sheet in a new browser window.

Click <Save> to save the query results to a file. Enter a file name, then save it to your desktop. The query results will automatically display in Excel format.
