Employee Self Service via PeopleSoft/Oracle HCM

As you may be aware, the campus recently implemented its new Human Capital Management system and a key feature of that new system is allowing employees access to view their personal, benefit, and payroll information on line. Access to HCM Employee Self Service is password protected. If you do not already have one, we urge you to pick up your username/password from the Center for Human Resources in ESC-406 in order to access the system. You must bring your Red-ID with you to pick up your username and sign-on instructions.

Once you have your username and password established you can log in to the system (following the sign-on instructions) and review your personal information. Workshops are available throughout September and on an on-going basis for those who would like assistance and an overview of the features. For those who are more adventurous, you can refer to our on-line training manual which walks you through step-by-step how to update your address, phone, emergency contact, view benefit information etc. Training materials for changing passwords and clearing cache are also included.

We encourage all employees to review their personal information and make sure we’ve got the most up-to-date information about you. Here’s what you can expect to see:

  • Your name: This is the name we have on file on the State’s payroll system and should be the name on your Social Security card. If you need to change your name, you can do so on-line, but must then bring your original Social Security card with your “new” name to HR in ESC 406. You will receive an e-mail confirmation once the change has been made to the system.

  • Your address: Please check to see if we have your latest home address. If you need to update the information, you can do so on-line and it will be updated immediately.

  • Your phone information: We have in most instances included a work telephone and fax number when it was available. You can add a home phone number or cell phone as well.

  • Emergency Contact: Please update to include the name and contact information of who we should contact in case of an emergency. This information was collected on a form when you were initially hired, but we find that it is often times outdated so it was not information that was included as part of our conversion.

  • E-mail addresses: If we have a business e-mail address it has been loaded and you cannot change it on-line. You can add another e-mail address if you would like. If no e-mail is listed, please add your current e-mail since the system uses this in many of its notification features.

  • Marital Status change: Your marital status available for benefits purposes was included in our conversion. Please verify that your information is accurate and make corrections if necessary. If you are not benefits—eligible you may, but do not need to, update this field.

You will also see additional information about yourself listed such as education level and Social Security number. Please verify the accuracy of that information. Unfortunately you are not able to update these fields directly. If you need to update any of this information, contact the HR help desk at ext. 4-8305.

Workshops for employees will be offered in September to showcase these new self service features. On-going workshops will continue to be offered for new employees or as a refresher for current employees. Additionally, the HRIS office offers a weekly open lab on Fridays in AD-233 from 8:30 a.m. - 10:00 a.m. for anyone needing assistance. Business Information Systems offers a help desk line at ext. 4-0899.

  • Tuesday September 12, 9:00 and 10:30 am
  • Thursday September 14, 9:00 and 10:30 am
  • Tuesday September 26, 8:30, 10:00, and 11:30 am
