Document Destruction Services



Procedure

The campus has a service agreement in place to help you with your document destruction requirements. The service is available to everyone and you only pay for the service you use. The SDSU Agreement number is 40065804.

There are two basic types of service:

  • On-site destruction is to be used for any sensitive or confidential information. All destruction of confidential information must be witnessed by a department representative.
  • Off-site destruction may be used for all other information.

There are three levels of cost:

  • On-site service is $20.00 per contractor-supplied container
  • Off-site service is $15.00 per contractor-supplied container (department minimum will apply)
  • SDSU-supplied boxes (no larger than 13” x 13” x 19”) are $2.50 each (department minimum will apply)
  • The campus minimum charge is $55.00 per visit
  • The department minimum charge is $20.00 per visit

If you would prefer to have a secure, locking container for the collection of documents, the contractor is offering two types:

  • Large, wheeled container that holds up to 350 lbs. of paper
  • Fixed location container that holds up to 75 lbs. of paper
  • The same service costs apply to both containers.

Requesting Service

If you wish, you may call Cintas at 858-678-0460 to discuss their services. A representative can come to your department and help you determine which container service is right for you. You also have the option of setting up a regularly scheduled service if you prefer. Currently Cintas is on campus every Friday. If you need service on days other than Friday, there is a $55.00 minimum charge.

Once you are ready to start using the service, download the Cintas Service Request Form [DOC]. Complete the form, and fax it to the contractor at the fax number on the form. The contractor will contact you with a pick-up date and time, usually a Friday. When the contractor arrives they will remove and replace the containers. You will need to have a department representative witness the destruction. At the conclusion of the service, you will be given a certificate of destruction for your records.

When you receive your invoice or contact from Accounts Payable via MarkView, enter your Oracle Account for payment and date and approve the invoice. We have eliminated the need to generate a requisition.

We have made every effort to make this program easy for you to use, ensuring the highest level of security for your sensitive documents. You in turn will be required to keep your documents, scheduled for destruction, in secured workspaces until they are destroyed.
