Requisition 101

SUPPLIER SITE:

“I have a question regarding supplier sites for Dell, Gateway and HP. Since I can go to the web site and get a quote most of the time, I can use the quote to do my online req. However, when I get to the supplier, it gives me several options and site locations to choose from. How do I know which one to choose?”

ANSWER:

Because these companies are so large, they often list multiple sites and locations, depending on product line. For campus orders, use the following::

MARKVIEW PRINTING:

“I received a notification from MarkView in my email about a purchase order. How do I view/print the purchase order?’

ANSWER:

  1. Click on the link in your email and keep that email open.
  2. Log into Oracle.
  3. Select the “170 MarkView AP/PO web home” responsibility.
  4. Once again, click on the second link “170 MarkView AP/PO web home”. This opens your WebInbox.
  5. With your WebInbox open, go back to the email message and click on the link (view document) one more time.
  6. This brings your WebInbox to the front of your screen and pastes the purchase order image into your browser window. You may now view or print the purchase order.

Helpful Hints, Suggestions and News
  • If you have a quote, proposal, offer or any other document that is relevant to your requisition, please send it to us. Fax it to us at ext. 4-0850 and make sure to include the requisition number on the document.
  • If you are new or just new to the requisition process, we encourage you to sign up for the “Oracle Requisition” training class. Call us at 4-5243 for more info.
  • Buy recycled!
  • Grainger has an on-campus location for your convenience. Call Jay or John at 229-1204 for hours and location.
  • The SDSU recycle/redemption center is open, located near the residence halls, southwest campus. See our next newsletter issue for details.
  • Remember, do not sign any contracts, agreements or leases that would obligate the university. Send them to this office for approval and signature.
  • If ordering furniture from OM Workspace, use Office Max as the supplier and OM Workspace as the site on your requisition.
  • If you are considering a purchase over the bid threshold of $50K, call us first. Using certified Small Business and Disabled Veteran companies, will expedite your request.
  • Aztec Shops is the official campus reseller for Apple products. Contact Jeff Kelly at ext. 4-7520 for help with your Apple purchase.
  • If you order a display or a device with a display larger than 4 inches, the state requires we pay a California Waste Recycle fee. Include a line on your requisition for this fee: 4-14.9 in. is $6, 15-35 in. is $8, and +35 in. is $10.
Reimbursed Agreements

Now that the new Fiscal Year is under way, it’s time to think about new contracts and renewals for your reimbursed services. Templates for Reimbursed Agreements are found on the Contract and Procurement Management, Forms web page.

We would like to offer some tips and reminders to make the process as simple and efficient as possible for everyone involved. As a reminder, these contracts need to be fully executed and in place no later than December 31, 2006, or accumulated charges may be moved out of your reimbursed account.

  • Be sure to use the actual benefit rate for salary reimbursements.
  • Don’t forget to factor in the risk pool contribution. The amount for FY 06/07 is 2.585% of the salary rate. (Salary x .02585 = risk pool amount).
  • On contracts that reimburse actual expense, it’s wise to include wording covering possible increases in expenditures such as: benefits, tax, and salary adjustments. For example, “To be billed on actual charges not to exceed $x.xx” (maximum contract amount).
  • Make sure the “Explanation of Agreement” has all of the required signatures (including project administrators for SDSURF agreements), before you submit them to Contract and Procurement Management.
