New Employee Hire & Employee Transfer

Guidelines for the New Employee or Transfer Employee

Center for Human Resources Procedures

On their first day, the new Employee should report to the Center for Human Resources located in the Extended Studies Center, Fourth Floor, and fill out new hire paperwork. Employee should bring:

  • Employment contract or offer letter
  • Their original Social Security card
  • One other form of identification to prove eligibility to work in the U.S.

The most common forms include driver license or passport. A list of acceptable ID items is available in CHR. CHR will issue authorization forms for a Staff ID card and for parking. For short-term employees, a paper ID card will be issued. This is valid for parking and keys.

Photo ID

Employee will receive an authorization slip from CHR for a new Staff ID card. Please bring the slip to Aztec Card office, Aztec Center AC-183 (4-6800) to be photographed and obtain the card.

Parking Permit

Employee will receive an authorization slip from CHR for a new Staff ID card. Bring the slip to Aztec Card office, Aztec Center AC-183 (4-6800) to be photographed and obtain the card. To pay for and receive a parking permit at the Cashier’s office in Student Services Building West SSW-2620, employee must have either:

  • Staff ID card
  • Picture ID and paper parking authorization from CHR

Employee should be prepared to pay for at least the first month’s parking, and then may elect to have subsequent parking fees deducted from the monthly paycheck.

E-Mail Account

Staff employees receive a university e-mail account from Telecommunications & Network Services (TNS) at Love Library LL-200. Employee fills out appropriate forms and receives user login and temporary password. Employee should change password upon first use of e-mail account.

Door Keys & Building-Access Cards

The originating department gives an employee who needs keys a Public Safety Authorization Slip and/or an SDSU Magnetic Access-Card Request slip. The employee brings the appropriate paper work with their new valid Student or Faculty/Staff ID to the Key Issue window at Public Safety, located in the DPS Building. Ordering Telephones & Other Items

New Office Telephone

Department’s designated telephone coordinator fills out Phone and Voicemail Service for the following items, in reference to the new employee’s office area: phone jack, phone line, phone set, update PH directory optional (if required by job, as per supervisor); voice mail, long distance authorization, and office-campus calling card.

Office With Existing Phone

Update PH directory optional (if required by job, as per supervisor): voice mail, long distance authorization, off-campus calling card; may assume preexisting voice mail account if prior user gives password; otherwise, TNS needs to reset.

Other Items  — When required to perform one’s job.

ADS Equipment Inventory Update

Department DARE submits a Notice of Inventory Update when a workstation has been assigned to a different staff person. ADS will update the system inventory upon receipt of your request.

9. Bring all network cables with you when you move. Order additional cables from TNS, if required. DARE Network Work Order
10. Advise ADS when relocating PCs. Instruct ADS to install and configure the PC, after it has been moved to its new location. DARE BFA Service Request
11. ADS will move a single computer for you. This includes disassembling the computer and moving it to the new location. ADS will then reassemble the computer, connect it to the network and perform the system configuration, so it can be used at the new location.

If you require that additional computers, office equipment, and large printers (see Item #12) be moved, you’ll need to contact Material Management to move these items for you. Instruct ADS to disconnect the equipment before the movers are scheduled to arrive. Instruct ADS to reassemble, reconnect, and configure the items at the new location, after the equipment is delivered.

12. ADS will move small printers up to 12 lbs. Contact Material Management to move large printers or office equipment (See Item #11). DARE BFA Service Request

13. When moving printer/copier machines, contact Material Management to move the items to the new location. Advise ADS to disconnect the equipment before the movers are scheduled to arrive, and instruct ADS to reconnect the equipment after it has been delivered to the new location.

When moving leased copier/printer equipment, contact Aztec Business Machines. Refer to your rental agreement for details.
DARE Material Management

14. Computers and networked printers that are relocated, require assignment of new IP Addresses. Contact TNS to order new IP Addresses, then provide this information to ADS, so that we can configure the equipment for use at the new location. DARE Network Work Order

16. Create a new BA Domain account, and establish account access to shared resources if required. DARE BFA Service Request
